Job Description:
Purpose: The purpose of the Forum Coordinator role is to
coordinate and assist in the activities and processes related to
Forum planning and execution. This includes but is not limited to:
venue relations; coordinating travel, meals, lodging, technology;
coordination and distribute curriculum materials; scheduling
teaching team meetings for Business Development Manager; managing
participant registrations; attending Forums throughout Greater
Minnesota; hosting Forums via Zoom; documenting and capturing
teaching plans and board photos; present summary reports on Forum
evaluations and providing superior client service in preparation
for and inside of Center Forums. Essential Duties and
Responsibilities:EVENT MANAGEMENT: Plan and administer Forum events
including: facilities, lodging, meals, technology and related
logistics for participants and teaching teams.* Interface with
venue personnel to plan and schedule venues, including contract
negotiations. Compare venues and monitor costs and level of
service.* Arrange food plans for forums, including monitoring costs
and special menus for participant needs.* Arrange lodging for
participants and Discussion Leaders, serving as the liaison between
the hotel/resort and the guest, communicating as needed to make the
guests feel welcome.* Arrange for all technology needed for the
Forum, and guide Discussion Leaders on use of technology, serving
as the liaison between the venue and our facilitators.* Handle all
other logistics as needed to support the operations of the Forum.
Including daily setup and provide support to participants, Forum
Leader, and Discussion Leaders.* Coordinate and manage Zoom
registrations, emails and calendar invitations for virtual Forums;
host virtual Forums utilizing Zoom functions; manage Zoom account
settings. CUSTOMER SERVICE:* Communicate with participants prior to
the forum with registration confirmation emails, updates,
curriculum, homework and questions. * Ensure all their needs are
met on site during the forum and any questions or concerns are
handled quickly.* Open and close the forum with greetings, ice
breakers and daily schedule announcements.* Host dinner each
evening and be on site during all times of the forum including
overnight for offsite locations.ADMINISTRATION:* Order and maintain
inventory of all necessary forum supplies.* Work with the Business
Development Manager to manage the Cost of Goods Sold budget for
each forum and review and submit forum specific invoices for
payment processing.CURRICULUM PRODUCTION & MAINTENANCE: * Update
Forum Guide and submit a draft copy to Business Development Manager
for approval. Then coordinate the distribution/delivery of
curriculum materials to participants and teaching team. Prep any
additional forum materials as needed.* Arrange and schedule
Teaching Team meetings for Forum Coordinator, Forum Leader &
Discussions Leaders prior to forums for preparation.* Work with
Anderson Center President & Business Development Manager on
customized forums and Harvard curriculum management.Required
Experience: Two or more years of related experience with part or
full-time jobs, summer work, internships, externships, and/or
coursework during college.Education: Bachelor's degree with strong
academic performance.Skills:* Strong planning, scheduling,
organization, execution, follow-up skills required* Excellent
verbal and written communication skills required* Strong technology
skills needed in Zoom, Microsoft Word, Excel, PowerPoint, and
Outlook* Excellent collaboration skillsQualities:* High level of
initiative, motivation, attention to detail and desire to be
thorough* Demonstrated record of achievement* Capacity for making
interpersonal connections with all organizational levels* Strong
willingness to collaborate and be a team player* Strong sense of
integrity, enthusiasm, and positive attitudeStatus: Part-time to
hire (post-graduation). Flexibility in hours, dates and times prior
to graduation. Full-time post-graduation.Start Date: Open

is in St. Cloud. Anderson Center supports remote working when it
allows for Forum Coordinator outcomes to be accomplished. The Forum
Coordinator will be on-site for all Center Forums from set-up to
close. One-day sessions do not include dinner, while multiple-day
Forums include hosting dinner.Compensation and Benefits:
