ACF supports and advocates for individuals and groups creating music today by demonstrating the vitality and relevance of their art. We connect artists with collaborators, organizations, audiences, and resources. Currently, ACF is in its second year of a five-year ambitious strategic plan. We are focused on further developing as a national go-to space and advocate for music creators. The success of the plan relies on the creation, testing, and implementation of programs and communications consistent with this strategy and our equity values. The position of Managing Director was recently created to focus on the effectiveness of the organization's internal operations. The Director of Operations will be an important collaborator with the Managing Director, managing the training, workflow, and technology solutions for cultural equity and optimal participation.

Job Description

Position Summary

The Director of Operations and Special Projects manages the organization's internal operating activities and systems including event production, consultant and vendor contracts, IT, internal communication platforms, and database. Reporting to the Managing Director, this position helps to ensure effective systems and communications for optimal internal workflow and execution.

Primary Duties And Responsibilities

Event Production
Oversee ACF-produced events such as virtual town halls, study groups, and roundtables and support co-productions with ensembles, presenters, and venues.
Manage event production and coordinate between project lead, participants, tech support, and space; includes event registration, contracts, ASL requests.
Coordinate materials, travel, space, food, and other needs for board events in collaboration with Executive Assistant and Director of Development.

Systems Administration
Manage administrative and technology infrastructure, processes, and policies to ensure a high-functioning, effective organization; includes email/calendar systems (currently Microsoft Office and Google), technology support (currently Syand), phones (currently digium), technology cycles, and shared space oversight.
Supervise all contract creation and execution; serve as staff liaison with legal support.
Maintain an organized system for accurate electronic record keeping including server best practices and any third-party storage use.
Oversee staff training and use of database and email systems (Salesforce and Mail Chimp): ensure cultural integration of shared systems with training, ongoing data hygiene, and clear application of data.

Human Resources
Work with MD to manage aspects of ACF's human resources such Employee Policy Handbook and onboarding/offboarding of staff.
ADA and Access Coordination: Oversee organizational execution of existing plan, annually revise, and facilitate any relevant staff training.
Cultivate an equitable culture organizing brown bag lunches, special activities, and feedback opportunities.

An ideal candidate is enthusiastic about ACF's mission and supporting music creators. They are committed to racial equity and share the organization's values of leadership, anti-racism, courage, support, and curiosity. The successful candidate must be highly organized, proactive, and able to reprioritize when needed. They have at least 3-5 years managing events and are comfortable creating and overseeing a production schedule, delegating tasks, and working with contracts. Experience with Microsoft office and digital platforms a must; knowledge of Salesforce a plus. We seek candidates interested in organizational culture and workflow solutions that are inclusive of different perspectives and preferences.

A national organization, we value the opportunity to be based in Minnesota, where most of the staff lives, so we invite applicants outside the area to apply only if they are willing to relocate to or near St. Paul, Minnesota (when it is safe to do so). Presence in the ACF office is encouraged to foster team relationships and communication. Onsite presence at in-person events is expected. During Covid, we are open to each individual's preferred in-person/remote work setting. Minimal travel is expected.
